1. Accessibility Statement
Effective Date: July 10, 2025

At Ark of Rescue Mental Health and Addiction Society (“Ark of Rescue,” “we,” “our,” or “us”), we are deeply committed to ensuring digital accessibility and inclusion for all individuals, including persons with disabilities. Accessibility is a foundational part of our mission to serve all members of society with dignity, equality, and respect. This statement affirms our intent to comply with and exceed the accessibility standards established under the Accessible Canada Act (ACA), the British Columbia Accessibility Act, and the Web Content Accessibility Guidelines (WCAG) 2.1 Level AA.

We strive to provide an inclusive digital experience that allows all users—regardless of ability—to fully engage with our content, access our services, and participate in our programs. We believe everyone has the right to access information independently and without barriers. Our digital content and development practices are guided by the Accessible Canada Act (ACA), the British Columbia Accessibility Act, the Canadian Human Rights Act, and the Web Content Accessibility Guidelines (WCAG) 2.1, Level AA. Where full compliance is not immediately achievable, we aim to provide reasonable accommodations or accessible alternatives upon request.

We have implemented a range of accessibility features and best practices across our website, including descriptive alt text for all images and non-text content, proper semantic HTML structure and heading hierarchy, clear keyboard navigation compatibility across all interactive elements, support for screen readers and assistive technologies, adjustable text sizes, responsive layout, and scalable design, high colour contrast ratios to assist users with low vision, minimized motion effects and the elimination of flashing content that may trigger photosensitive conditions, accessible forms with labels, instructions, and clear error feedback, avoidance of time-limited interactions unless necessary and adjustable, and descriptive link text and logical tab order.

Accessibility is an ongoing process. We perform regular accessibility audits, usability testing including with assistive technology users, and content reviews to identify and remove barriers. We collaborate with web developers, content managers, and accessibility consultants to maintain and improve compliance. Any new website features are reviewed for accessibility before deployment. Where limitations are identified—due to third-party platforms, technical constraints, or legacy content—we provide alternative access methods upon request and prioritize necessary updates.

While we strive to ensure full accessibility of our digital ecosystem, some content or tools may be hosted by third parties such as embedded donation forms, videos, or social media plugins. We cannot guarantee the accessibility of third-party platforms but carefully select providers with strong accessibility records and offer alternate methods where feasible.

If you are unable to access any content on our website, we will provide the information or service in an accessible format upon request. This may include large print documents, audio files, transcripts, or direct personal assistance. To request an alternative format or accessibility support, please contact us using the form on our website. We will respond within a reasonable timeframe and take appropriate measures to address your concern.

We welcome feedback from all users about their digital experience and accessibility barriers they may encounter. Your input helps us improve and ensure full inclusivity. To submit feedback or make an accessibility-related request or complaint, please contact us through our website's Contact form and specify “Accessibility Inquiry” in the subject line.

We uphold a strict policy of non-discrimination. No individual will be denied services, assistance, or equal access due to disability, assistive device usage, or accessibility-related requests.

This statement and our accessibility efforts are governed by applicable Canadian and provincial legislation. We are committed to cooperating with regulatory bodies, advocates, and individuals to resolve accessibility concerns and comply with evolving standards.

This Accessibility Statement may be updated to reflect changes in legislation, technology, or internal policies. The most current version will always be available on our website. Continued use of our site after updates implies acceptance of the revised terms.

2. Privacy Policy

We reserve the right to suspend or deny access if a participant fails to meet eligibility requirements or violates these terms.

Participants must provide accurate and complete information at the time of application. False, misleading, or incomplete submissions may result in disqualification or removal from a program. Participants are responsible for informing us of any updates to their personal or health information that may affect participation.

Participation in certain programs may involve risks, including but not limited to physical, emotional, or mental strain. By enrolling, you acknowledge and accept full responsibility for these risks. We reserve the right to involve law enforcement where necessary.

Some programs may involve health and wellness services, vocational training, spiritual support, counselling referrals, or group activities. While we provide guidance and access to resources, we do not guarantee specific outcomes or personal results. Participation does not constitute a patient-therapist relationship unless explicitly stated.

All personal information collected as part of program registration or participation will be handled in accordance with our Privacy Policy. 7. Donor Terms and Conditions

These Donor Terms and Conditions (“Terms”) govern all charitable contributions made to Ark of Rescue Mental Health and Addiction Society (“Ark of Rescue,” “we,” “our,” or “us”), whether online, in person, by mail, through third-party platforms, or any other means. By making a donation to Ark of Rescue, you agree to these Terms.

Donations to Ark of Rescue are voluntary and non-refundable. Once a donation is processed, it is considered final. Refunds may be issued in rare cases, such as a duplicate transaction or proven payment error. Requests for a refund must be submitted in writing within 30 days of the donation and include proof of payment. Ark of Rescue reserves the right to approve or decline refund requests at its sole discretion.

Ark of Rescue is a registered non-profit society. Whether or not a donation is eligible for a tax-deductible receipt depends on our charitable status at the time of the gift and the legal requirements set by the Canada Revenue Agency (CRA). If eligible, donors will receive an official tax receipt. Donors are responsible for providing accurate contact information to ensure delivery. We are not responsible for undelivered receipts due to incorrect or outdated details.

All donations are processed securely through trusted third-party payment gateways. Ark of Rescue does not store full credit card or banking information. By donating, you authorize the processing of your payment and agree to any associated terms from the third-party processor. Your financial data is protected under applicable privacy and security regulations.

Donors may choose to give a one-time or recurring donation. By selecting a recurring option, you authorize Ark of Rescue and its payment processor to automatically charge your account on the schedule selected. You can cancel or change your recurring donation at any time by contacting us in writing before the next scheduled payment.

Your personal and payment information will be collected and used solely for processing your donation, issuing tax receipts, and keeping you informed about our impact and fundraising initiatives. Your information will be managed in accordance with our Privacy Policy. We do not sell, rent, or trade donor data.

You may choose to remain anonymous. If not, your name may appear in donor acknowledgements, reports, or public recognition materials unless you request otherwise. You may opt out of public recognition or communications at any time by notifying us.

Ark of Rescue reserves the right to decline or return donations that present a conflict of interest, risk reputational harm, or contradict our mission and values. Donations intended to exert influence over operations, governance, staffing, or service delivery will not be accepted.

Unless specified, all donations are considered unrestricted and will be used where most needed. If a donation is designated for a specific program or purpose, Ark of Rescue will make every reasonable effort to honour that intent. If a designated program becomes impractical, inactive, or fully funded, Ark of Rescue reserves the right to redirect the funds to a similar initiative or the general fund.

Ark of Rescue may revise these Terms at any time. Updates will be posted on our website and apply to future donations. Your continued donations after changes are posted constitute your acceptance of the new terms.

These Donor Terms and Conditions are governed by the laws of the Province of British Columbia and the federal laws of Canada. Any legal disputes will be resolved in the courts of British Columbia.

Board members have a legal and fiduciary duty to act in the best interests of Ark of Rescue. This includes the duties of care (to act diligently and prudently), loyalty (to put the interests of the organization above personal interests), and obedience (to comply with laws and the organization’s governing documents). You agree to actively participate in board meetings, committee assignments, strategic planning, financial oversight, and decision-making processes, contributing your skills and experience to advance our mission.

You must act with integrity, honesty, and accountability in all matters related to your role. Conflicts of interest, whether financial, personal, or relational, must be disclosed immediately. You may not vote or participate in decisions where you have a direct or indirect interest. Any perception of bias or self-dealing must be avoided to preserve trust and compliance.

All information shared or discussed during board meetings or strategic planning sessions is considered confidential unless explicitly authorized for public release. You agree not to share internal discussions, documents, or sensitive organizational information outside of the board unless legally required or permitted by the board as a whole.

Board members are expected to advocate for Ark of Rescue in the community, support fundraising efforts, and contribute financially or in-kind at a level that is personally meaningful and appropriate. While individual contributions may vary, all directors are expected to demonstrate commitment through active involvement and stewardship.

You agree to respect and support board decisions, even if you personally disagree with the final outcome. Open discussion and dissent are encouraged during decision-making, but once a resolution is passed, unity and alignment are expected in external representation.

Board members are prohibited from using their position for personal advantage or to advance the interests of family members, businesses, or external organizations without prior disclosure and written consent of the board. Any breach may result in removal under applicable bylaws and provincial regulations.

You agree to complete any required orientation or governance training, remain informed about the organization’s work, review meeting materials in advance, and participate fully in board functions. Repeated unexcused absences or failure to meet participation expectations may result in a request for resignation.

This agreement remains in effect throughout your term as a board member and continues to bind you with respect to confidentiality and fiduciary duties after your term ends. The board may revise this agreement at any time in accordance with the bylaws, and continued service implies consent to updated terms.

This agreement is governed by the laws of the Province of British Columbia and the federal laws of Canada. Any disputes related to board conduct shall be addressed through internal resolution mechanisms or legal proceedings if necessary.

This policy applies to all staff, board members, volunteers, program participants, contractors, and affiliates who communicate on behalf of or represent Ark of Rescue in any capacity.

All external communications—whether through interviews, press releases, social media, publications, or public appearances—must accurately reflect the mission, values, and activities of Ark of Rescue. Only authorized personnel may represent the organization publicly or speak to the media. Unauthorized representation or miscommunication of organizational positions may result in disciplinary action or legal consequences.

The Executive Director or a delegated communications officer is the official spokesperson for Ark of Rescue. No other staff, board member, or volunteer may provide statements to the media unless expressly authorized. All inquiries from journalists, researchers, or media outlets must be promptly referred to the designated spokesperson or communications department for approval and coordination.

Any information released to the public must be truthful, respectful, and free of discriminatory, defamatory, political, or offensive content. Personal opinions must be clearly distinguished from official organizational views. You may not use the name, logo, or branding of Ark of Rescue in personal statements, petitions, or commentary without prior written approval.

Social media platforms used by Ark of Rescue will be professionally managed to inform, engage, and inspire the public while safeguarding the rights and privacy of those we serve. Comments posted on official channels will be monitored. Content that is abusive, defamatory, spam-related, or in violation of the law may be removed. Individuals who abuse these platforms may be blocked or reported.

Staff and volunteers must not disclose confidential information, personal stories, or identifiable details about clients, partners, donors, or colleagues in any form of public communication—including social media, blogs, or public forums—without documented consent and legal review. Even anonymized references can result in unintended harm or breach of trust.

Photography, audio recordings, and video footage taken at events, shelters, recovery programs, or outreach sites may only be captured or shared with prior written consent of the individuals involved. Consent forms must be securely stored and accessible upon request. Minors or vulnerable persons require guardian approval.

Any official publication, article, or public-facing document using Ark of Rescue’s name or resources must undergo review by a communications lead or senior administrator prior to release. This includes external speaking engagements, journal contributions, newsletters, or collaborative projects with other organizations or media outlets.

Misuse of digital channels, including cyberbullying, spreading misinformation, unauthorized fundraising, or misrepresenting your affiliation with Ark of Rescue, will result in immediate review and corrective measures. In serious cases, legal action or removal from organizational affiliation may occur.

This policy may be revised periodically in response to evolving technology, legal developments, or organizational needs. Continued association with Ark of Rescue implies agreement with the current and future versions of this policy.

This Media and Communications Policy is governed by the laws of the Province of British Columbia and the federal laws of Canada. Any breach may result in corrective action, dismissal, or legal proceedings where necessary.

13. Partnership and Collaboration Agreement

This Partnership and Collaboration Agreement sets out the principles, expectations, and responsibilities that govern formal and informal partnerships with Ark of Rescue Mental Health and Addiction Society (“Ark of Rescue,” “we,” “our,” or “us”). It applies to relationships with other non-profit organizations, government agencies, faith-based institutions, healthcare providers, educational institutions, private sponsors, and any entity collaborating with us to advance our mission.

All partnerships must align with the vision, values, and ethical standards of Ark of Rescue. Collaborations should support our efforts in the areas of homelessness prevention, addiction recovery, mental health support, social reintegration, community education, or other programs serving marginalized or vulnerable populations. We reserve the right to decline or discontinue any partnership that conflicts with our principles, endangers public trust, or creates reputational or operational risk.

Partnerships may involve joint programming, service delivery, shared facilities, outreach, research, co-branding, resource exchange, capacity building, advocacy, training, or fundraising. Each partnership must be guided by clearly defined goals, written terms of engagement (e.g., MOUs or contracts), and mutually agreed responsibilities.

Partners must maintain open communication, act in good faith, and operate with transparency. Each party is responsible for designating points of contact and maintaining regular dialogue. Any challenges, disagreements, or proposed changes to the arrangement should be addressed collaboratively, respectfully, and in a timely manner.

Each partner remains independently responsible for its own employees, volunteers, operations, policies, and compliance with applicable laws and regulations. Nothing in this agreement shall be interpreted as creating a legal partnership, agency, joint venture, or employment relationship unless otherwise specified in writing.

Use of Ark of Rescue’s name, logo, trademarks, digital media, or program materials requires prior written permission and must reflect the organization accurately. Similarly, Ark of Rescue will not use a partner’s branding or intellectual property without documented consent. Unauthorized use may result in immediate termination of the partnership.

All partners are expected to respect the confidentiality of information shared during collaborative work, including sensitive organizational data, participant information, financial records, and evaluation outcomes. Data sharing must comply with Canadian privacy legislation and be limited to the purposes defined in the partnership agreement.

Ark of Rescue will not tolerate discrimination, exploitation, coercion, or misconduct by any partner organization, its representatives, or affiliated individuals. Allegations of abuse, fraud, harassment, or ethical violations will result in immediate suspension of collaborative activity pending review.

Where financial or in-kind contributions are involved, both parties must maintain clear records of transfers, expenses, and outcomes. All contributions must be used for their intended and authorized purpose. Reports, invoices, or evaluations required by either party must be submitted within agreed timelines.

Either party may terminate the partnership at any time with written notice. Grounds for immediate termination include breach of agreement, illegal activity, misuse of resources, public misconduct, reputational harm, or noncompliance with ethical standards. Upon termination, both parties agree to cease joint activities and return or destroy any confidential materials unless otherwise agreed.

This agreement may be customized for specific projects and expanded into a formal contract or memorandum of understanding. Ark of Rescue reserves the right to update its partnership policies at any time. Continued collaboration implies consent to the latest version of this policy.

This Partnership and Collaboration Agreement is governed by the laws of the Province of British Columbia and the federal laws of Canada. Any disputes arising under this agreement shall be resolved in the courts of British Columbia unless alternate dispute resolution is mutually agreed upon.

15. Emergency and Crisis Response Protocol

This Emergency and Crisis Response Protocol outlines the procedures Ark of Rescue Mental Health and Addiction Society (“Ark of Rescue,” “we,” “our,” or “us”) follows to protect the health, safety, and well-being of clients, staff, volunteers, and visitors in the event of an emergency or critical incident. This policy applies across all facilities, programs, outreach activities, and events operated or sponsored by Ark of Rescue.

An emergency or crisis is any unexpected situation that poses an immediate risk to physical safety, mental health, property, or operations. This includes but is not limited to fire, medical emergencies, violent behaviour, overdose or substance-related crises, mental health deterioration, natural disasters, missing persons, infrastructure failure, or threats of harm to self or others.

All Ark of Rescue staff, volunteers, and designated responders are trained to act quickly, calmly, and in accordance with this protocol. In any life-threatening situation, the first step is to call 911 or the applicable emergency services. The priority is to preserve life and ensure the safety of all individuals involved.

Once emergency services have been contacted, staff must notify the on-site supervisor, program coordinator, or crisis response lead. The site leader will coordinate evacuation, lockdown, containment, or de-escalation procedures as appropriate to the nature of the emergency. All personnel must follow instructions and assist vulnerable individuals without placing themselves at undue risk.

In case of a fire or evacuation, all individuals must proceed calmly to the designated exit routes and gather at the assigned muster point. Staff are responsible for conducting a head count, assisting persons with mobility issues, and checking rooms if safe to do so. Emergency supplies, such as first-aid kits, flashlights, and communication devices, must be easily accessible and regularly maintained.

For medical emergencies, trained staff will provide first aid or CPR until professional responders arrive. Naloxone will be administered by trained personnel in the event of a suspected opioid overdose. Any use of emergency medication must be reported and documented immediately.

In the event of violent behaviour, escalating aggression, or threats of harm, staff should activate personal safety plans, use de-escalation techniques, and avoid physical intervention unless specifically trained and authorized to do so. Law enforcement should be called if there is an immediate risk to life or safety. Staff and clients should be removed from danger where possible.

Mental health crises, suicidal ideation, or psychotic episodes require immediate and compassionate intervention. Staff must engage the person in a nonjudgmental, trauma-informed manner, ensure they are not left alone, and contact mobile crisis units or mental health professionals as needed. All interventions must prioritize dignity and autonomy while ensuring safety.

In cases of missing clients, absconded program participants, or suspected exploitation or trafficking, staff must alert the site supervisor and follow the missing person procedure, including contacting local authorities and the client’s emergency contact when applicable. Every effort will be made to respect the individual’s rights while responding to safety concerns.

After any emergency, an incident report must be completed by involved staff within 24 hours. A debriefing session will be conducted to review the response, assess emotional impact, and improve future readiness. If needed, counselling or support services will be offered to affected individuals.

Ark of Rescue maintains emergency contact lists, safety equipment, floor plans, and local resource guides at every service location. Staff are required to familiarize themselves with these tools and participate in regular safety drills and crisis response training.

Any person found to have deliberately ignored emergency protocols, endangered others, or obstructed emergency response may be subject to disciplinary action or removal from the premises or program.

This protocol will be reviewed annually and updated as needed in accordance with public health regulations, emergency response best practices, and the evolving needs of our programs and facilities. All staff and volunteers will receive copies upon onboarding and upon any major updates.

This Emergency and Crisis Response Protocol is governed by the laws and emergency regulations of the Province of British Columbia and the federal laws of Canada. In a declared emergency, all actions must comply with public directives and legal obligations.
